Event Technology Services – Exhibitor Terms
GENERAL CONDITIONS & REGULATIONS
- The Salt Palace Convention Center (hereafter referred to as “SPCC”) and the Mountain American Expo Center (hereafter referred to as “MAEC”) are the exclusive provider of all telephone, Internet (wired and wireless), and plumbing/engineering services and sales within the facility.
- Purchase and use of the SPCC and MAEC services are limited to exclusive use by ordering clients, their employees, and guests. Resale or other unauthorized distribution of these services is prohibited.
- Quantities of some services are limited. Order early to ensure availability. Orders will be filled on a first-come, first-served basis.
- All services will be installed during designated move-in times. Installation will be finalized once the event floor is clear of freight and other obstacles. Services will be disconnected on the last day of the event, 30 minutes after the official closing time.
- All prices are for rental of materials and equipment. Materials and equipment used in installation remain the property of the SPCC and MAEC.
- A replacement fee will be assessed on any equipment damaged or not returned at the end of the event. Equipment can be returned to the Guest Services Office at any time.
- The SPCC and MAEC are not responsible for the installation, programming, or performance of personal equipment. Additional labor costs may be applied if assistance is required for installing or troubleshooting personal equipment if the problem is found not to be the fault of the SPCC or MAEC.
- Under no circumstances shall anyone other than SPCC and MAEC technicians do any wiring in the facility without prior written approval.
- Services ordered from outside providers must be pre-approved by SPCC or MAEC. These services will be placed in the SPCC or MAEC switch room (MDF) and extended to desired location(s) by in-house technicians. These services will be assessed fees for connectivity and labor.
- A drawing indicating service placement(s) is required to be submitted with all wired Internet, engineering, and telephone orders. If a drawing is not received, technicians will drop service in an area of the booth or room that they deem to be most convenient. There is a labor fee of $95 per hour to relocate a line once it has been placed.
- Rates quoted for all services include bringing the requested communication services to designated locations in the most convenient manner and do not include special wiring, overhead drops and/or special set-up or installation of client equipment. Additional labor charges will be assessed when special services are required.
- Disputes concerning service must be reported to the Event Technology Services department or your event manager prior to the closing of the show. Disputes will be resolved in a timely manner.
RATES & PAYMENTS
- Payment for services must be paid in full before service is installed. All payments are in US dollars.
- The advance rate is available until 10 days prior to move-in. Orders must be complete and paid in full by that date in order to qualify for the advance rate. All new orders, additions and changes requested after this date will be charged at the standard rate.
- A 3.5% convenience fee will be applied to services paid for by credit card.
- You will be notified by email to confirm the receipt of your order. Call us if you do not receive this email.
- Notification of cancellation must be received, in writing, 10 days prior to move-in. Cancellation received fewer than 10 days prior, but before installation begins will be assessed a 20% cancellation fee.
- Credit will not be given for services not used.
- Any changes to your order after installation will be assessed a minimum charge of $95.00 for labor.
- Service cannot be canceled once move-in has begun.
INTERNET SERVICES
- SPCC and MAEC Internet services (wired and wireless) offer standard access to the Internet. Bandwidth may be shared with administration and other exhibitors and events in the facility. Dedicated bandwidth is available upon request.
- Wired Internet service is delivered via standard Ethernet connection (RJ45). If your device does not have an Ethernet port, we recommend purchasing an Ethernet adapter prior to the event.
- Wired Internet service is delivered via a single Ethernet cable. If you require access to more than one computer or device, you must order service for each additional device. When ordering additional devices, all equipment and labor required to connect additional devices is included.
- Usernames/passwords, IP addresses, and telephone numbers are emailed approximately one week prior to the event.
- Wired Internet service can extend up to a maximum 30’ from the original drop location and cabling must be sufficiently secured. Cables in walkways must be covered with visible yellow-and-black caution tape.
- The SPCC and MAEC cannot guarantee the performance or accessibility of services beyond our gateway.
- VPN (virtual private network) connections can be used over our Internet services. However, individual corporate policies vary and could require additional support from your corporate IT professionals for functionality. The SPCC and MAEC recommend testing VPN services prior to the event to ensure compatibility.
- All services are tested once installation is completed. Performance reports and other statistics for Internet services are kept on file for up to one month and can be issued upon request.
WIRELESS (WI-FI) INFORMATION
- Wi-Fi is broadcast on both bands in SPCC and MAEC meeting rooms and lobby areas. To provide high-density access in our exhibit halls, broadcast is limited to 5 GHz only in those areas.
- Using 5 GHz capable devices (802.11 a/n/ac) is strongly encouraged as wireless speeds and connectivity will not be guaranteed in the 2.4 GHz band.
- Wireless connection speeds will vary depending on the service purchased as well as the number of users on the network; personal device capabilities; and the size and location of uploads/downloads.
- Wi-Fi is inherently vulnerable to interference from equipment and devices that transmit on the same radio channels, operate within the same frequency spectrum, or have the ability to corrupt or block wireless frequencies. The SPCC and MAEC cannot guarantee that interference will not occur. Credit will not be given for the decrease in wireless performance due to interference generated by the event and/or its exhibitors, contractors, or attendees.
- Our standard wireless network configuration does not enable multicast or broadcast traffic, as these protocols can negatively impact network performance in high-density environments. Services that rely on multicast or broadcast—such as Apple AirPlay, AirPrint, Google Chromecast, and similar technologies—will not function under default settings. If your event requires these services, please contact our Event Technology team in advance to discuss custom network solutions and associated costs.
- The SPCC and MAEC are not responsible for wireless networks within the facility that it does not own or manage.
INTERNET SECURITY
- SPCC and MAEC do not provide security, such as firewalls, antivirus, or any level or PCI compliance on event Internet services. It is the sole responsibility of the customer to provide their own necessary security precautions. SPCC and MAEC are not responsible for any damages arising from the use of unsecured devices on the network.
- SPCC and MAEC recommend that all devices directly or indirectly accessing the network have the latest virus scan software, security updates, system patches, and any other technological precautions necessary to protect yourself and others from viruses, malicious programs, and other disruptive applications.
- Any device which adversely affects the SPCC or MAEC network, causing service interruptions to yourself and others may lead to disconnection of your equipment from the network, with or without notice, at our discretion. The device(s) in question will remain disconnected until all issues are adequately resolved. No refund will be given. Additional charges may apply for troubleshooting, diagnostics, and/or problem resolution.
LEGAL USE OF INTERNET SERVICES & LIMITATION OF LIABILITY
- Any illegal usage of SPCC and MAEC services including transmission, distribution, or storage of material or conduct in violation of any applicable local, state, federal or foreign laws or regulations is prohibited. Illegal usage of the SPCC and MAEC services may result in termination of service.
- Under the Digital Millennium Copyright Act (DMCA) it is illegal for any party to transmit or download copyrighted materials. Any violation of DMCA copyright laws may result in termination of Internet service and may result in legal action taken against the customer by either the copyright holder or the service provider.
- SPCC and MAEC do not provide an expressed or implied warranty for the equipment and services provided, including no warranty of fitness for particular purpose or merchantability. Part of the agreement with the SPCC and MAEC is a limitation of liability so that Client’s sole remedy or recourse against the SPCC shall be the return of the price that the client paid for services and/or equipment rental, regardless of type, nature, or basis for the claim. The SPCC and MAEC shall have no liability whatsoever for personal injury, property damage, business loss, business interruption, consequential or punitive damages.
- Client shall indemnify the SPCC and MAEC from third party claims arising from Client’s use of the SPCC and MAEC services and equipment.
SCOOTER & WHEELCHAIR RENTAL TERMS & CONDITIONS (Salt Palace Only)
- Rental shall commence when Salt Palace makes equipment available to the lessee and end upon return of equipment to the location where it was originally made available to the lessee. No allowance shall be made for Saturdays, Sundays, or holidays or for times when equipment is not in use while in lessee’s possession.
- Lessee shall use the equipment in a careful and proper manner and shall comply with all laws, ordinances, and regulations relating to the possession, use, or maintenance of the equipment. When a limitation on use accompanies the identification and description of items of equipment, the lessee shall use such items of equipment only for the stated use.
- Lessee agrees that it will make no alterations to the equipment without obtaining prior written permission from the Salt Palace, ASM Global, and Salt Lake County. All additions to and improvements of the equipment of any kind shall immediately become the property of Salt Palace, ASM Global and Salt Lake County, and subject to the terms of this lease.
- On expiration of the rental term for any item of equipment, lessee agrees to deliver at its own expense the said items in good condition, ordinary wear and tear resulting from proper use thereof alone excepted, and free and clear of encumbrances, to the location at which it was obtained. Equipment left at an alternate location after expiration (i.e., anywhere other than the Guest Services office), lessee will be charged a one-day standard rental fee for each day until the equipment is recovered.
- Lessee assumes all responsibility for equipment when taken off the Salt Palace Convention Center property.
- Lessee accepts the equipment on an “as is” basis. Lessee acknowledges receipt of all equipment in working condition and declares that lessee fully understands its proper operation and use. Lessee acknowledges that they have examined said equipment and has received the same in a secure and operative condition, or if not, in a condition as noted by both parties herein.
- Lessee hereby assumes all risks of loss of and damage to the equipment from any cause and agrees to return it to the Salt Palace in as good condition as when received, normal wear and tear excepted.
- In the event of loss of or damage to the equipment, lessee at the option of the Salt Palace shall: Replace the same in good repair; or replace the same with like equipment in good repair, which equipment shall thereupon become the property of the Salt Palace, and subject to this lease; or Pay the Salt Palace, in cash, the market value of the equipment.
- Liability for injury, disability, and death of workmen and other persons caused by the operation, handling, or transportation of the equipment during the rental period shall be assumed by lessee, and lessee shall indemnify Salt Palace, Legends Global, and Salt Lake County against all such liability.
